Position Overview:
As a College Registrar at Galen College of Nursing, you will provide strategic leadership and operational oversight for the Office of Academic Records across Galen College ofNursing's multi-campus, multi-state environment. Responsible for the integrity, accuracy, security, and consistency ofstudent academic records, registration governance, academic scheduling governance, schedule data, and registraroperations across all locations and instructional modalities. Serves as the institutional authority on academic records,registration governance, academic scheduling strategy, transfer credit, degree conferral, enrollment reporting, catalogintegrity, and records policy execution. Ensures enterprise-wide standardization of registrar, registration, and schedulingfunctions in support of student progression, regulatory compliance, accreditation readiness, instructional capacityplanning, and institutional scalability.
Key Responsibilities:
- Lead the administration, governance, security, and integrity of student academic records in alignment with FERPAand institutional policy.
- Direct enterprise registration operations across the academic calendar, including add/drop activity, withdrawals,enrollment changes, late registration, and related record adjustments.
- Oversee academic scheduling governance, strategy, standards, and escalation pathways in partnership withAcademic Affairs, campus leadership, program leadership, and operational stakeholders.
- Establish and maintain standardized registration and scheduling timelines, procedures, controls, andaccountability structures across campuses, programs, terms, modules, and instructional modalities.
- Maintain executive accountability for section creation standards, schedule build controls, room and instructionalresource alignment, section capacity management, and schedule data integrity within the Student InformationSystem.
- Partner with Academic Affairs and campus leadership to support schedule optimization, student progression,conflict reduction, clinical and non-clinical scheduling alignment, and effective use of instructional resources.
- Provide enterprise oversight for registrar operations across the student lifecycle, including registration, clinicalcompliance, withdrawals, and record adjustments.
- Oversee degree audit, graduation clearance, and credential conferral to ensure institutional consistency and theaccurate awarding of diplomas.
- Serve as the institution’s final functional authority for registrar policy interpretation, FERPA training, anddisclosure management.
- Establish and maintain the governance framework for registrar procedures, catalog integrity, and operationalcontrol mechanisms.
- Serve as the senior functional leader for registrar-related operations within Ellucian Colleague and integratedstudent-facing platforms.
- Partner with IT on system design, workflow modernization, and data controls affecting registrar integrations likeCanvas and OnBase.
- Support institutional accreditation (SACSCOC) and programmatic readiness through documented record controlsand audit-ready practices.
- Partner with Financial Aid and stakeholders to ensure accurate enrollment reporting for IPEDS, NSLDS, andClearinghouse functions.
- Lead, develop, and evaluate staff to build organizational capability, role clarity, and cross-functional expertise.
- Establish key performance indicators for campus registrar functions.
- Ensure record retention and archival practices support institutional integrity
- Prepare and present operational metrics, trend analysis, and risk insights to senior leadership.
- Represent the Office of Academic Records incollege-wide initiatives involving program implementation,institutional scale, and process redesign
Position Requirements:
- Education: Master's degree in Higher Education Administration, Business Administration, EducationalLeadership, or a related field required. Bachelor's degree with exceptional experience may be considered.Relevant professional credentials or continuing education in registrar operations or academic recordsadministration preferred.
- Experience: Minimum of five (5) years of progressively responsible experience in registrar operations, academicrecords, enrollment services, or related higher education administration. Minimum of three (3) years of leadershipor supervisory experience, preferably in a multi-campus, multi-location, or distributed operating environment.Demonstrated expertise in Ellucian Colleague (Academic Records, Registration, Degree Audit, Curriculummodules) required. Experience supporting SACSCOC accreditation and Title IV enrollment reporting preferred.Background in private, proprietary, or nursing/health sciences higher education is a plus.
- Skills: Deep knowledge of FERPA, enrollment reporting, transfer credit operations, graduation processing, andacademic records compliance. Strong functional fluency in Ellucian Colleague and working knowledge of CanvasLMS integrations, section provisioning, enrollment synchronization, and schedule-related data dependencies.Excellent written and verbal communication skills across all organizational levels. Strong analytical,organizational, and problem-solving ability. Demonstrated capacity to build alignment across Academic Affairs,Financial Aid, IT, Compliance, and campus operations teams.
- Qualifications: Travel required (up to 25-35%) across campus locations and for accreditation, regulatory, andinstitutional obligations. Working knowledge of Microsoft Office products. Must be highly organized with the abilityto manage high-volume, deadline-driven work during peak registration, graduation, and reporting periods. Abilityto work effectively in a team environment and prioritize across multiple concurrent responsibilities.
- Physical Requirements & Work Environment: Primarily office-based with regular virtual collaboration acrosscampus locations. Frequent use of technology and computer systems for extended periods. Ability to manageconcentrated workload during peak operational periods. Normal motor skills and eye-hand coordination. Travelrequired.
